Division Coordinator
Under the direct supervision of the Director of Engineering, the Division Coordinator performs a variety of clerical, administrative, and technical functions necessary to maintain smooth office operations within the Engineering division. This position requires strong organizational aptitude, time management acumen, and effective communication skills in both written and verbal formats. This position also requires proficiency with the use of computers, peripherals, and with the Microsoft Office Suite of products. The position is part of a highly diverse and fast-paced division which requires effective management of multiple tasks simultaneously.
*Job Responsibilities & Performance Standards:*
1. Performs administrative functions within the Engineering Division
1.1. Types and edits correspondence according to established formats and guidelines
1.2. Performs general filing when requested and required, according to established policies and procedures
1.3. Tracks and reviews vendor invoices, purchase orders, and procurement documentation; may aide in the completion of procurement and financial documentation
1.4. Supports project managers with tracking project status, schedule, risks, and budgets
1.5. Serves as a liaison and engages in a variety of contacts inside and outside of the organization in order to obtain or relay information, arrange meetings, and gather data
2. Performs administrative functions for the Director of Engineering
2.1. Prepares presentations for the Director of Engineering for conferences, speaking engagements, meetings, seminars, etc. as directed
2.2. Coordinates and maintains calendars, prepares travel itineraries to include directions, contacts, and other related items, scheduling of meetings and maintains associated records for the Director of Engineering and/or other staff as assigned
2.3. Plans, organizes and coordinates meetings, trainings, conferences, seminars, special projects and events. Makes travel arrangements and prepares expense reports for the Director of Engineering
2.4. Assists the Director of Engineering with developing and monitoring budgets
3. Represents the Engineering Division in a highly responsible and professional manner
3.1. Acknowledges and responds to all guests in a timely and courteous manner
3.2. Answers assigned office phone lines promptly and professionally
3.3. Refers or transfers calls to appropriate staff members, state agency or other government entity for assistance when required in accordance with established office protocol
3.4. Records accurate messages and promptly relays them to the appropriate staff members as well as ensuring appropriate and timely notification of urgent matters to the appropriate entities
3.5. Previews and responds to email communication in a timely manner upon advisement of the Director of Engineering
4. Provides support for the Developments of Regional Impact (DRI) program
4.1. Tracks and files submissions under the DRI program
4.2. Aids in the creation or review of SRTA formal documentation
4.3. Issues formal documentation to stakeholders as requested by engineering staff
5. Performs other duties as assigned by Management.
*Agency-Specific Minimum Qualifications:*
o A four-year degree from an accredited college or university AND one (1) year of professional administrative experience reporting directly to a senior leader or executive OR four (4) years of professional administrative experience reporting directly to and/or supporting a senior leader or executive.
o Independent self-starter with excellent management, oral and written communication skills.
o Demonstrated high level of proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint,).
o Attention to detail with a specific focus on grammar, formatting, and presentation.
o Flexibility to respond to the Director of Engineering's immediate administrative needs, including maintaining a work schedule that will require, on occasion, evenings and weekends.

Bachelor's degree in business or related field from an accredited college or university AND One year of experience related to area of assignment. Note: An equivalent combination of education and job specific experience that provided the knowledge, experience and competencies required to successfully perform the job at the level listed may be substituted on a year-over-year basis.
